Alistair Group has recently ventured into the world of sustainable transportation by converting a workshop vehicle into an electric car. This groundbreaking initiative showcases our commitment to environmental stewardship and innovation.

What was the Motivation for electric conversion you may wonder? Alistair Group recognizes the pressing need to reduce carbon emissions and promote sustainable practices within the transportation sector. By converting a vehicle into an electric car, the company aims to lead by example and demonstrate the feasibility and benefits of electric mobility for both commercial and recreational purposes. Of course, electric vehicles are currently far from practical for most of our long-haul fleet – due to range limitations, but for vehicles that are used inside a base/port or performing short trips, there is potential!

The conversion process is much more than just taking the vehicle’s engine and replacing it with an electric motor, there is a process that takes place.

  • Vehicle Selection: Alistair Group carefully selected a suitable vehicle. We chose a small (and old!) workshop run-around vehicle that is usually tasked with collecting spare parts from suppliers in town, and therefore only travels short distances.
  • Removing the Internal Combustion Engine: The conversion process began with the removal of the conventional engine, fuel system, and exhaust components to create space for the electric motor, battery pack, and associated systems.
  • Electric Motor and Batteries: The team then installed a high-performance electric motor and a meticulously engineered battery pack to ensure optimal power and range for the converted vehicle. Emphasis is placed on selecting components that align with the intended use, whether it be for rugged off-roading or urban transportation.
  • Power Electronics and Control Systems: Advanced power electronics components, including motor controllers, inverters, and battery management systems, are integrated to efficiently manage power distribution, charging, and the overall performance of the electric drivetrain.
  • Safety and Compliance: We then ensured that the converted vehicle complies with safety regulations and that it underwent rigorous testing to meet the industry standards for electric vehicles.
There are a host of benefits and advantages for turning a conventional light truck into something as eco-friendly as an electric vehicle.

Setting up base for the first time in a new country can be a challenging task with its own set of unique obstacles and compliance issues. 

Our international client was in search of a regionally established partner to assist with the supply, installation, construction and management of their pioneer temporary facilities in Temane, Mozambique.

Our customer’s business challenges: 

Our client required an all-inclusive turnkey solution where Alistair Group was the main point of contact. 

The scope of work consisted of 

  • Supply, delivery and installation of modular units 
  • Civil works, such as fencing, electrical works, etc
  • Managing the campsite in terms of daily consumptions, generator, waste management and more.

Our key actions to meet our customer’s expectations: 

Alistair Group has been established in Temane since 2013 and therefore has the required knowledge and assets to operate in this remote area.

THE TOP FIVE TIPS FOR TRANSPORTING COPPER/COBALT

The mining industry has witnessed an increased demand for more copper and this has partially been attributed to the advent of electric vehicles (EVs), which use copper for batteries and wiring. Alistair Group’s extensive experience and proven expertise in this industry have allowed us to recognise the Copperbelt’s significance for African mining expansion and beneficiation. Contrary to a few decades ago, a large portion of output, in the form of copper raw materials, is transported by truck, as opposed to rail, to destinations outside the DRC.

The transportation of Copper comes with its own set of challenges and any transporter handling this commodity will have effective round trips, cargo safety and reduced costs at the forefront of their minds. With more than a decade of experience providing an end-to-end logistics solution to our copper clients, we would like to share the top 5 tips that come to mind when thinking about the transportation of copper.

1. Visibility & reachability
When a driver is transporting a load to a value of over $300K, the reachability of the driver and visibility of the cargo becomes paramount. In Africa, considering the lack of infrastructure and development, it is easy for transporters to unwillingly go off the grid. Alistair Group has made it their first priority to ensure that this never happens and that we are able to provide our clients with the ease of mind that they know where their cargo is at all times.
Once goods are placed on our trucks and are ready for transport, tracking becomes fully automated by using our track & trace technology and GPS systems. The Alistair Group’s Track and Trace system is a modern, fully web-based platform with real-time status and location information of goods, personnel, and vehicles. This information is available to each client. We are also looking into setting live alerts that would notify us as soon as someone tries to temper with the GPS units.
In addition to this, we have an Alistair Group human tracking team that works in day and night shifts to ensure tracking occurs 24 hours a day. Our team carries out driver updates a minimum of four times a day, using phone/radio communication. We have found that with a combination of dedicated IT and Tracking teams we are able to provide complete transparency to both our Operations team and clients about the current location and status of all vehicles/shipments.

2. Convoys
When transporting a high-value commodity like copper Alistair Group has a strict convoy policy. The term convoy refers to a group of vehicles travelling together for mutual protection and support.
Trucks carrying high-value cargo, such as copper, always move in a convoy of at least three trucks. It becomes more difficult for perpetrators to attack/hijack trucks that travel together at all times. This is not only safer for the cargo but also our drivers.

Alistair Group has taken it a step further and implemented convoy trackers who are part of the tracking team but dedicated to monitoring high-value cargo convoys. They don’t call or speak to drivers, they merely monitor the GPS and escalate incidents where a convoy is broken.

3. Escorts
More increasingly we have noticed the importance of escorts when transporting copper cross-border. Copper is a highly targeted commodity and theft attempts have increased considerably over the past few years. Therefore we advise all our clients to add this additional safety measure when transporting with us.
Depending on our client’s willingness and need; escorts can be organized from point of origin through to the final destination, or only added to a certain stretch of the route eg: DRC. Alternatively, some clients provide their own escorts from the point of origin to the final destination.

4. Approved parking locations
Trucks parked in unclassified or unsecured parking places are involved in over 50% of the cargo losses reported annually and involve thefts of products valued at tens of millions of dollars. Our no-night-driving policy prevents drivers from being on the road after dusk. Therefore safe parking and overnight resting areas for our drives and trucks are a necessity. Alistair Group has identified safe areas and parking locations throughout our routes that we utilise as dedicated and preapproved parking areas. Parking in another location is strictly prohibited.

5 – Master the Basics
When it comes to transporting copper it is crucial to master the basics so that full attention can be given to the safety and security aspects that accompany the logistics behind this commodity.

  • Ensure that loading and offloading happened effectively and efficiently.
  • Lash your copper securely and cover it with a tarp.
  • Conduct a proper briefing with each driver, carried out by a fleet manager, to ensure they know what to do and who to call in case of an emergency.
  • Upskill your drivers and ensure they are trained to stay alert and conquer the terrains they will be driving in.

PHYSICAL AND TECHNOLOGY SAFETY MEASURES

According to an article published by Reuters on 27 July 2021, between January and May 2021, at least 66 loads of Copper were hijacked in transit to port destinations – with about 60% of the incidents occurring in South Africa. Since then, the crime syndicates have not taken their foot off the pedal and the transport industry has seen an unprecedented spate of hijackings taking place across sub-Saharan Africa, including DRC, Zambia, Botswana and South Africa. This has had long-reaching negative effects, including multiple transporters being forced to shut their doors as a result of the spiralling insurance costs. The latter has also been highlighted in an FTW publication on 24 June 2022.

At Alistair Group we have taken these matters with the seriousness they deserve and have invested time and money into buffering and bolstering up both our physical and technological security measures. These measures allow us to mitigate risk; ensuring that our drivers, assets and client’s cargo is safely and securely delivered to each destination. As such all high-value goods being transported by Alistair Group move under security escort from the loading point right through to the final destination.

Besides our no night driving policy, tracking and monitoring systems, all of our vehicles are equipped with panic buttons and we have a dedicated 24/7 tracking team and control room monitoring our vehicles. In addition to this, we have personnel who conduct daily route road patrols and have teamed up with multiple security agencies and logistics partners across South Africa, Botswana, Zambia, Namibia, Tanzania, Zimbabwe, and the DRC to ensure that we have sufficient security and immediate response services available at all times.

The Alistair Group’s Track and Trace system is a modern, fully web-based platform with real-time status and location information of goods, personnel, and vehicles. This information is available to each client. Each vehicle is equipped with either a single or dual-SIM GPS tracking unit (depending on region/corridor). This allows for the tracking of every Alistair Group vehicle in any country throughout Sub-Saharan Africa. In the unlikely event that both hard-wired/magnetic GPS units and the driver’s phone GPS fail the vehicle will still be manually tracked and location updated by the Alistair Group human tracking team. Our team carries out these updates a minimum of four times a day, using phone/radio updates.

Alistair Group Security Measures

 

Alistair Group prioritises the safety and security of our client’s cargo.  We have implemented multiple physical safety and security measures and pride ourselves on the protocols and technological developments that protect our client’s supply chain holistically.

PHYSICAL WAREHOUSING SECURITY:

When it comes to warehouse security, it is needed to implement security measures both inside and outside the facility. External-facing warehouse security systems, known as perimeter security, are used to defend entry points and the property line – often focusing on limiting access. Internal warehouse security measures help identify those who have breached the external security measures, focusing on capturing evidence. It’s important to have layered security measures to protect the facility in its entirety. Below is a list of physical safety and security measures Alistair Group has implemented:

  • Top of the range Facilities
    • The quality and standard of our buildings are top of the range.
    • The building infrastructure is in pristine condition and we offer indoor/covered storage solutions to minimise the risk of theft and weather damage.
  • Approved Warehouse
    • With many of our client’s cargo being financed from Europe and maintaining ownership of the cargo till exported, it’s important to ensure all banks are familiar with our live stock systems, giving them peace of mind that data is accurate at all times.
    • Alistair Group is an approved warehouse for all major trade finance banks.
  • CCTV
    • Alistair Group has CCTV integrated cameras throughout all facilities in DAR and Durban with visibility over all warehouse spaces, yard spaces, entry gates and weighbridges
    • CCTV monitoring, allows us to readily monitor even the remotest areas of our warehouse— always being alert to what’s going on throughout the facility.
  • Security SOP (Standard operating procedure)
    • Alistair Group has developed and implemented security SOPs to manage all truck, staff and cargo movement both receiving and dispatching/packing of cargo.
    • These SOPs include:
      • High-value metals/minerals receipt into warehouses
      • High-value metals/minerals export packing
      • Gate security procedure (receiving/dispatch)
      • Port shunt and escorting high-valued metals and minerals
  • Security Personel
    • We have visible security on site 24 hours to monitor all operational movement throughout the yard space, night operations and warehouse operations.
    • CCTV is an effective way to remain informed however we prefer to also have feet on the ground to provide heightened industrial security.
  • Alarm Response And Verification
    • All Alistair Group facilities are fitted with alarm systems and response units on stand bye from a third-party security company.
    • Our Alarm systems are accompanied by protocols stipulating how to respond promptly to any alarms that go off, and to verify when there is a real security threat.
  • Secure Entrance Points
    • Due to the high volume of feet that commonly enter our warehousing facility, individuals and trucks have to go through our controlled entry points. At each point of entry, the identification and verification documentation of each driver and truck is assessed before access to our warehouse is granted. These records are monitored and stored should they be required in the event of an incident.

  

SECURITY IN THE SUPPLY CHAIN:

When talking about security it is important to delve into the topic of visibility. To ensure the utmost security of cargo we would need constant and controlled visibility of the cargo as it moves through the supply chain. Alistair Group has developed and implemented a multitude of security measures that heightens our and our client’s visibility of their cargo. Giving them the ability to constantly monitor live updates of the cargo’s whereabouts. This technology has allowed Alistair Group to reduce human error and man-hours required to operate in a timely and effective manner.

Our own cloud-based Warehouse Management System (WMS) is used to provide a fully integrated multi-location solution, and can easily adapt to our client visibility needs. Alistair Group technology allows for the tracking of our client’s cargo on a per-bundle basis – providing visibility into each bundle throughout the stages of transportation. We provide our clients with real-time reporting and alerting (including an advanced report builder), as well as barcode scanning for rapid and accurate check-in / out of inventory items. A lot of our resources have been focused on developing this visibility and getting our dashboards to intuitively provide real-time information which is accurate and dependable; providing our customers with ease of mind about the safety, security and warehouses of their cargo.

THE IMPORTANCE OF DOCUMENT MANAGEMENT IN LOGISTICS

There are few things more stressful for our clients than having their cargo tied up at the border due to improper documentation. With so much of our attention often focused on the loading times, delivery times, and cost management related to transporting cargo, we often forget about the importance of document management to ensure efficient cross-border movements. Different documentation is required for different types of cargo, it’s extremely important to understand and determine which documents are required prior to arriving at a border or delivery location.  Unfortunately, the mismanagement of documents is one of the most common causes of issues or delays when transporting, clearing, and storing cargo. At Alistair Group, we recognized the importance of properly managing cargo documents, and have created a robust process to reduce the potential for issues or delays as much as possible.

Our process consists of four (4) major components:

 

1. DOCUMENT PROCESSING & CATEGORIZATION

We recognized the challenge of managing the accessibility of paper-based transportation documents across various end-users, in addition to the importance of detailed document categorization to enable efficient border crossings as well as post-trip processing.  

To effectively overcome that challenge, Alistair Group has created a robust document processing and categorization system that transforms paper documents into a digital format and stores them in a cloud-based system that is accessible via the internet.  All cargo-related documents are scanned and converted to a digital format (PDF) and uploaded to our document processing system which was developed in-house.  The processing system assigns the document a structured file name based on document type and then stores it in a unique folder based on the client’s name, route, and trip identification number.  Lastly, the collection of cargo-related documents for each client is presented on the client-specific digital dashboard for easy access.  The Alistair Group document system converts and processes on average over 20k documents per month.

 

2. DOCUMENT AUDITING TEAM

The second component of Alistair Group’s document management system is our human document auditing team.  After cargo documents are digitized and uploaded to our processing system, a team of highly trained auditors review each and every document to maintain quality control.  During the auditing of a document, the team will ensure multiple criteria are correct:

  • Document classification
  • Required stamps and/or signatures are present
  • Orientation and alignment

If any of the above criteria are incorrect, the auditor rejects the document and notifies the appropriate department for escalation and re-uploading.  This process has proved to be a  vital component of the document management process and has resulted in high quality and accuracy for border and post-trip processing.

 

 

3. CLEARANCE PRE-ALERTS

One of the most common sources of delays is the lack of proper documentation available during the cargo clearing process (i.e.: border crossings).  We recognized the need to be extremely proactive in providing the necessary documents to clearing agents to avoid delays.  Another in-house developed system was created that provides a simple way for our teams to generate and send “Clearance Pre-Alert” via email that includes the necessary documents prior to the cargo arriving.  Clearance delays relating to documents have been nearly eliminated since the implementation of this semi-automated process.  An Alistair Group team member simply selects the appropriate clearance pre-alert email group and submits the send pre-alert request via our internal system.  Once the request has been submitted, an automation is triggered to collect the required documents and create and send an email to the appropriate clearing group, eliminating any possible human error.

 

4. DRIVER NOTIFICATIONS VIA WHATSAPP

The fourth and final component of the Alistair Group document management system is the ability to effectively deliver critical documents to our drivers’ mobile phones.  WhatsApp is by far the most popular communication platform our drivers use, so it was a natural solution to integrate with our system.  Leveraging the WhatsApp for Business API, we were able to quickly integrate and start sending a variety of documents directly to drivers as attachments such as:

  • Trip briefing and debriefing forms
  • Trip updates
  • Driver bulletins
  • Incident letters
